The roots of this project can be traced back to a 2007 initiative taken by Calyon’s finance division, seeking to meet three core requirements set out by the Operating Expenses Financial Control department: “Simplified archiving and faster invoice consultation, enhanced quality for data integrated into our accounting software, and greater invoice processing reliability,” recalls Olivier de Koning, head of Financial Control for France and project sponsor. 50,000 supplier invoices and expense claims are now captured electronically, recognised, checked, and integrated for validation in Infor’s Smartstream ERP application. The ITESOFT.FreeMind for Invoices solution handles the automation of these stages as well as adapting to Calyon’s decentralised structure: electronic capture, video-assisted correction, and validation occur directly at the various sites where invoices are received. “Ever since we rolled out the ITESOFT solution at our cost centres we have benefited from invaluable gains, especially when controlling or auditing. We’ve found that moving to paperless systems for supplier invoices and expense claims ensures document traceability and transparency.
